Apple made a significant move yesterday that every business leader and IT administrator should know about. On April 14, Apple officially launched Apple Business, a free, unified platform that consolidates device management, business email, calendars, directories, and customer engagement tools into a single place. If your organization has been paying for Google Workspace or Microsoft 365 primarily for email, it is time to take a closer look.

What Is Apple Business?

Apple Business replaces three separate Apple platforms that businesses previously had to manage independently: Apple Business Essentials, Apple Business Manager, and Apple Business Connect. Rather than juggling multiple portals and logins, organizations now have one destination to handle it all.

The platform is available in over 200 countries and regions and is free for both new and existing users. Optional paid add-ons exist for additional iCloud storage and AppleCare+, but there are no monthly fees for device management.

The Headline Feature: Free Business Email

Perhaps the most talked-about element of the launch is Apple Business Mail. For the first time, Apple is offering businesses professional email accounts tied to custom domains, completely free. Organizations can set up to 500 users per organization, and the service works with any IMAP-compatible email client, meaning your Windows and Android users are not left out.

Each account uses iCloud's free 5GB storage allocation, with the option to upgrade per user up to 2 terabytes for a monthly fee. Custom domain names can be purchased directly through Apple or brought in from an external registrar.

For small and mid-sized businesses that have watched Google steadily reduce or eliminate its free tiers over the years, this is a meaningful alternative worth evaluating.

Built-In Device Management

Apple Business includes native mobile device management tools that allow IT teams to configure device settings, security policies, available apps, and user groups all from one location. A simplified Blueprints feature lets employers preconfigure devices purchased from Apple or authorized retailers with apps and settings ready to go out of the box, enabling zero-touch deployment.

Managed Apple Accounts provide cryptographic separation between personal and work data, so employees can use a single device without worrying about personal and professional information mixing. Provisioning can also be automated through integrations with identity providers like Google Workspace and Microsoft Entra ID.

Calendars, Directories, and Customer Engagement

Beyond email, Apple Business includes integrated calendar and directory services linked to your custom domain. On the customer-facing side, businesses can manage how their brand appears across Apple services including Safari, Siri, Spotlight, Apple Maps, and Apple Mail. Order tracking in Wallet, Tap to Pay branding, and customizable place cards in Maps round out a suite of tools designed to help businesses show up professionally across the Apple ecosystem.

Apple also announced that Apple Maps ads will be available this summer for U.S. and Canadian businesses, purchasable directly through the Apple Business platform.

What You Need to Know Before Jumping In

A few important details to keep in mind. The Apple Business companion app and the email, calendar, and directory features require iOS 26, iPadOS 26, or macOS 26. If your organization is not yet on those operating system versions, you will need to plan for that transition.

Apple Business is a strong option for organizations with lighter device management needs or those looking to reduce software subscription costs. However, organizations managing larger, more complex device fleets may still benefit from pairing Apple Business with a dedicated MDM solution to cover advanced policy management, compliance reporting, and security workflows.
